Privacy Policy
This Privacy Policy explains how proposely.online ("we," "us," or "our") collects, uses, shares, and protects information when you use proposely.online (the "Service"), whether as an account holder who uploads and shares proposals, or as a recipient who opens a proposal link someone sent you.
1. Information We Collect
Account information
When you create an account, we collect the information you provide, such as your name and email address, and, if you sign in with a password rather than a third-party provider, authentication credentials managed by our authentication provider. If you sign in with Google, we receive basic profile information (name, email address, and profile image) from Google in accordance with your Google account settings.
Your proposals
We store the files you upload (typically PDF documents), along with metadata you provide or configure, such as the proposal's name, display settings, and access controls (for example, whether a viewer must provide their name and email before viewing, or whether downloading is allowed).
Recipient and viewer data
When someone opens a proposal link, we automatically collect information about that visit so we can provide analytics to the proposal owner and, where relevant, detect first-time versus repeat visitors. This can include:
- A pseudonymous identifier stored in the visitor's browser (not a traditional advertising cookie) used to recognize repeat visits to the same proposal;
- Approximate location derived from network information, which may include country, city, and approximate coordinates, used to show the proposal owner where their proposal was viewed from on a map;
- Device type and operating system, inferred from the browser's user-agent string;
- The referring website or source, if any, that led the visitor to the proposal;
- Engagement details such as when the page was opened, which sections or pages were viewed, how long was spent on each, and whether the file was downloaded;
- If the proposal owner has enabled a "reader gate," the name and email address the visitor enters before viewing.
If you are a recipient providing your name and email to view a proposal, that information is collected on behalf of, and shared with, the person or business who sent you the proposal link, it is their business content, not ours, and requests to access or delete it should generally be directed to them in the first instance, though you may also contact us using the details in Section 9. When an account holder uses the Service to collect information from proposal recipients, they are responsible for providing any notices and obtaining any consents required by applicable law; we process that information to provide the Service on their behalf.
Communications
If you contact us directly (for example, by email), we keep a record of that correspondence to respond to you and improve our support.
2. How We Use Information
We use the information described above to:
- Provide, operate, and maintain the Service, including rendering and hosting your proposals;
- Authenticate you and secure your account;
- Generate the analytics and engagement alerts that are core to the Service, such as notifying an account holder by email when a proposal is opened by a new visitor or downloaded;
- Process payments and manage subscriptions;
- Respond to support requests and communicate with you about the Service;
- Monitor, secure, and improve the Service, including diagnosing technical issues and preventing abuse;
- Comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not use the contents of your uploaded proposals to train third-party machine learning models.
3. How We Share Information
We do not share your information with third parties except as described here. We use a small number of infrastructure providers to operate the Service, each of which processes data on our behalf and is contractually restricted from using it for their own purposes:
- Authentication and database services (Firebase, by Google): used to manage account sign-in and to store account, proposal metadata, and analytics records.
- File storage and hosting/edge network (Cloudflare): used to store your uploaded proposal files and to serve the Service globally with low latency; this provider also supplies the approximate location signal described in Section 1.
- Transactional email delivery (Brevo): used solely to send account-related emails and the engagement alerts you configure (such as "a new viewer opened your proposal"); it is not used for marketing unless you separately opt in.
We may also disclose information if required to do so by law, subpoena, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or security issues. If our business is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy or a successor policy.
4. Data Retention
We retain account information for as long as your account is active. If you delete a proposal, we remove its file from storage and its associated data within our systems; a short operational delay before full removal from backups or caches may occur. If you delete your account, we will delete or anonymize your personal information within a reasonable period, except where we are required to retain certain records for legal, tax, or security purposes, or to resolve disputes.
5. Data Security
We use reasonable technical and organizational measures designed to protect your information, including encrypted connections (HTTPS/TLS) between your browser and our systems, access controls limiting who can read or write proposal data, and server-side enforcement of the access rules you configure for each proposal (such as blocking clients from tampering with view counts). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Your Rights and Choices
Depending on your location, you may have rights to:
- Access, correct, or update the personal information in your account;
- Request deletion of your account and associated data;
- Object to or restrict certain processing of your information;
- Request a copy of your data in a portable format;
- Withdraw consent, where processing is based on consent, without affecting prior lawful processing.
You can update your account details and delete individual proposals directly within the dashboard. You can also control which engagement alert emails you receive, and the address they are sent to, from your notification settings. For any other request, including full account deletion, contact us using the details in Section 9 and we will respond within a reasonable time.
7. Cookies and Local Storage
We use limited browser storage rather than traditional third-party advertising cookies. Your account session is maintained through your authentication provider's standard session mechanism. When you view a shared proposal, an anonymous identifier is stored in your browser's local storage so that a repeat visit to the same proposal can be recognized as returning rather than new; this pseudonymous identifier is not linked to advertising networks and is not used to track you across unrelated websites. You can clear this data at any time through your browser's settings, though doing so may affect how repeat visits are recognized.
8. Children's Privacy
The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.
9. International Data Transfers
Our infrastructure providers operate global networks, which means your information may be processed or stored in countries other than your own, including the United States. Where required, we rely on appropriate safeguards, such as standard contractual clauses or equivalent mechanisms offered by our providers, to protect information transferred internationally.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. If we make material changes, we will take reasonable steps to notify you, such as by email or an in-product notice, before the changes take effect. The "Last updated" date at the top of this page reflects the most recent revision.
